How CertBinder works

Five minutes of setup, then it mostly runs itself.

1. Add your cards

From the dashboard, hit Add card and upload a photo or PDF of the card itself. CertBinder reads the details in for you, and you correct anything before saving. NREMT levels, all 50 states' EMS licenses, fire certifications, RN, NP, PA, physician, AHA cards, or anything custom. You can also upload files first on the Documents page and add the details later. Made a mistake? Every credential has an Edit details button.

2. Your roles, watched automatically

CertBinder figures out your roles from what you upload: add an NREMT Paramedic card and a Firefighter I certificate and you get a Paramedic tile and a Firefighter tile, each showing OK, Needs attention, Not certified, or Expired based on that role's real requirements. One BLS card counts for every role that needs CPR. Click a role to see exactly what it requires, what's missing, and which cards serve it. You can also monitor a role before you hold any of its cards to see the full shopping list.

3. Log CE as you earn it

Use Upload CEUs on the dashboard or the form on any credential page. Attach the certificate right there, and the progress bars track your actual requirements, including national, local, and individual components where they apply. Years of history in a spreadsheet? Import it from CSV in one go.

4. Reminders do the remembering

On paid plans, CertBinder emails you before anything expires, at 90, 60, 45, 30, and 15 days by default, and you can set your own schedule on the Account page. The email includes your CE shortfall so you know what to book. No more finding out at shift change.

5. Documents, sorted your way

The Documents page keeps everything encrypted and organized: Professional and Personal tabs, a filter for each of your roles, and an Archived tab for old cards. The eye icon views any file in your browser. Government ID shows under both Professional and Personal, because you need it in both worlds. When you renew a card, use Replace to swap the file, or Mark renewed on the credential to roll the CE cycle forward.

6. Export when someone asks

New employer, medical director, or auditor wants copies? Go to Export, pick professional or personal, filter by role if you want just your fire packet or just your EMS packet, and download one zip. Files come out named like Rivera_NREMT_Paramedic_0327.pdf so the person receiving them can read the expiration at a glance, with a CE log spreadsheet for each credential.

7. Questions the assistant can answer

Paid plans include an AI assistant that reads your own data. Ask "what do I still need before October" or "which of my cards expires first." It answers from your CE log and the built-in requirements, and it will tell you to double check with your board, because boards change rules.

Your data, your call

Everything is encrypted at rest, exports any time, and the Account page has a light/dark theme toggle in the footer, your reminder schedule, and a full account deletion that removes every file and record permanently. Stuck on anything? Email support@certbinder.org.
